Cost and revenue of transport orders

The most important function of the Purchasing module is, of course, the insight into the revenue and costs of transport orders. To provide that insight, you can link a purchase rate to each sales rate, possibly with specific rates per carrier. Once the purchase rates have been set in EasyTrans, you can calculate the prices for orders automatically. This allows you to easily verify in EasyTrans what an order costs and generates. Of course, you can then easily share the agreed prices with the carrier by e-mail, by exchanging data via EasyTrans or via a Carrier Portal.

Purchase invoicing

Because purchase costs are registered in the orders, you can create purchase invoices within a few clicks. A purchase invoice gives you an overview of the amount the carrier is allowed to claim. So you can quickly check if received claims from the carriers are correct. Or how much you need to pay your staff. You can create, send and manage purchase invoices. All purchase invoices you create are listed in a purchase invoice overview. From this overview, you can email the purchase invoices to your carrier(s), log date of receipts and track payments.

In addition to purchase invoices, it is also possible to generate self-billing invoices. With self-billing, you have agreed in advance with the carrier that you will create the invoices. The invoicing process is reversed: Not the carrier, but you as the client provides the invoice on behalf of the carrier.
Are you using the Extra Branch module? Additional branches also have full access to their own purchase invoicing. Hereby the branch office has its own purchase invoice numbering.

So with the accounting functions of EasyTrans you can easily keep track of the payment of your purchase invoices. Do you handle the accounting in a separate accounting program? If you use the Connection with accounting package module, in most cases it is possible to export the purchase invoices and the data of the carriers to the accounting package.

Attach documents

The Document Storage module of EasyTrans Software allows you to store documents with transport orders. In this way, you can manage files safely and digitally in the Transport Management System EasyTrans. For each document you can specify whether it is an internal document or may also be shared. For example, you can share signed delivery notes with customers and/or carriers.

Receiving or sharing documents can be done in a variety of ways. For example, via a Carrier Portal/ Drivers App, via a Customer Portal or at the various mail options within EasyTrans. In addition, as with sales invoices, you can also send saved documents as attachments with a purchase invoice.

Mileage registration

In addition to sales mileage, which you might charge to customers, you can also record actual miles driven. As with sales mileage, you can use an automated mileage calculation for this purpose. You can also record any distance corrections for the purchase miles, per mile or percentage, positive or negative and per carrier! Do you have rates based on a price per mile? Then the sales and purchase rates are immediately calculated correctly.

With a Premium or Premium Plus Package from EasyTrans Software you have an extensive export function. This allows you to export data from the Transport Management System to Excel, for example. The extensive functionality of Excel gives you a good overview of the mileage records.

Carrier Portal

From a Premium Plus package, a Carrier Portal/Drivers App is part of the Transport Management System EasyTrans. Automated transmission (planning) and receipt (carrier) of new transport orders is part of a Carrier Portal. With the Purchase module you can optionally share the agreed rates with a transport order.

A Carrier Portal can be used by a driver as a Chauffeur App, allowing orders to be signed off on the road. The sign-off information, including actual miles driven, are immediately available in the plan environment.

Exporting purchase data

With a Premium or Premium Plus Package from EasyTrans Software you have an extensive export function. This allows you to export data from the Transport Management System to, for example, Excel. If the Purchasing module is part of your subscription, some standard export options are extended with purchasing data and there are additional export options. Do you export order data, for example? Then you will also see the calculated margins and purchase mileage. You can also export purchase invoice data or period sales per carrier.

Courier Exchange

EasyTrans Software works with a large number of partners to provide specific functionalities. For example, with Courier Exchange, an online platform for freight exchange for couriers and forwarders.

With the link between EasyTrans and Courier Exchange, you can easily place a transport order (load) on the Courier Exchange platform. Other transport companies can respond directly to your offer. And if you use the Purchase module, you can also assign the carrier from EasyTrans as soon as an agreement with a carrier has been concluded.
