Route Planning & Optimisation

The Route Planning & Optimisation module is extended with 2 useful features.

Up-to-date ETA for Customer and recipient

The ETA of a composite route is now automatically updated. When the driver signs off the destination via the Drivers App, the system automatically adjust the ETA for the stops still to be completed. This can be seen both in the order overview for the planner, but also in the Customer Portal and of course, on the Track & Trace page. This way, you can inform your customer and the receiver of the expected develivery time.

It’s also possible to set up a time window margin. When showing the estimated time of arrival (ETA) on the Track & Trace page, a margin is added before and after the calculated ETA. As a result, a time window is displayed as ETA. For example, 30 minutes earlier and 90 minutes later gives an ETA with a time window of 2 hours.

Creating pick-up and delivery routes

There is now the ability to create a seperate pick-up and delivery route as composite route. This feature allows you to merge orders with only pick-up destinations or only delivery destinations. You can select this option when merging orders. For example, this feature is useful when you are going to pick-up at your customers in the afternoon and deliver the next day.

Increase rates automatically by a percentage

Many customers apply new rates at the beginning of the new year. There is now an easy way to prepare these new rates in advance and keep the old ones. When copying, you can specify a percentage by which the rates should be increased. After this, check the new rates and adjust them if necessary.
Once the rates are set, select all orders in the new year and change them into the new product at ‘With selected orders’. The advantage of this method is that you can increase all rates at once and keep the old rates for all the orders from last year.

E-mail recipients with your customer’s logo

It’s now possible to add the logo of your customer. This customer logo will be shown in the order confirmation e-mail to the receiver, the delivery note and the shipping labels, instead of your own logo. In addition to the customer logo, the company details of your customer are also mentioned at the documents, instead of your own company details.

New invoice layout

We have a fresh new look for the layout of invoices. Where previously the company details were small and at the bottom of the invoice, it is now possible to place the company details with logo at the top.

Note: If you have been using EasyTrans for some time, the new layout is not automatically active in your environment. Would you like to use the new layout? Send us an e-mail.

Simple empties

From now on, it’s possible to keep track of empties in EasyTrans with the Premium or Premium Plus Package. You can register pallets taken and/or left behind. The system adds a field to each destination in the order where the number of pallets can be entered. If more pallets are taken than left behind, a minus sign appears in front of the number.

Are you using the Driver App? Of course, you can also edit the empties here. When the driver signs off the destination, he is given the option to enter the correct numbers under ‘Empties taken’ and ‘Empties left behind’. The information filled in by the driver can be seen directly in the planning environment and in the Customer Portal.

If you want to make a report of the registered empties, this is of course possible via an export.

Manage old data

If you have been using EasyTrans for a couple of years, you can clean up the system by deleting old data. This also makes EasyTrans a lot faster.

Delete old orders

If you have created many orders in recent years, it can be useful to delete old orders. This speeds up the system. Furthermore, the removal of orders offers the possibility to meet the retention period laid down in your GDPR conditions. Once orders are permanently deleted, they cannot be retrieved. Invoices created with the orders, however, always remain visible.

Move old customers to the recycle bin

If there are customers in EasyTrans who have not placed an order for a long time, they can be moved to the bin and will be removed from the selection list. Customers who have been placed in the bin always be restored if you want to place an order for that customer again.

Standard dimensions for rate types

If you have created your own rate type (or goods type) and this rate type has fixed dimensions, weight or description, then this can be set under standard dimensions. These values are then entered as default values in the goods entry, when this rate type is selected. An example is a Europallet with fixed dimensions of 120 x 80 cm.

Quick edits

We have added 3 new quick-edits to the system.

Modify delivery date

Changing a delivery date was of course already possible from within the order itself and could therefore only be changed per order. Now you can change several orders at once to a different delivery date from the order overview. This can be done by selecting the relevant orders in the first column and then choosing ‘Change order > Delivery date’ under ‘With selected orders’.

Address book

A Customer filter has been added to the address book. This filter allows you to see the addresses belonging to a specific customer.

In addition, it is now possible to remove addresses that are no longer used from the address book. This was already possible per address by clicking on the ‘red cross’ in the last column, but now you can also remove several addresses at once. This is done by selecting the relevant addresses in the first column and then choosing ‘Remove’ under ‘With selected addresses’.
Note: Addresses are permanently deleted. There is no recycle bin on deleted folder where the addresses end up first.

Customer overview

From the Customer overview, it is possible to (de)activate or delete customers. Whereas previously this was only possible per customer, it can now be done for several customers at once. You do this by selecting the relevant customers in the first column and then choosing ‘Activate, Deactivate or Remover’ under ‘With selected customers’.
Deleted customers first appear in the bin. From the bin, you can restore customers as active customers or permanently delete them.

Advanced settings

New advanced settings have been added to the system. All these new settings can be set via ‘Settings’ > ‘General’ > ‘Advanced’ tab.

Document marking

It was already previously possible to get a marker in the order overview when an order confirmation or transport order has been sent. Now it is also possible to see in the order overview whether a document has been added to the order, without opening the order. When you select this option, the ‘Delivery note’ column is highlighted in green as soon as a document is added to the order.

Hide pick-up address in Track & Trace and order confirmation

If you do not want to show the pick-up address on the order confirmation or on the Track & Trace page, it is now possible to hide it.

Order time on first destination

When you enter a new order, the order date and time is automatically taken over at the first destination. We do this because in EasyTrans the order date and time is always equal to the loading date and time. If you do not want to take over the time at the first destination, this can now be disabled.

Sign off destinations

Until now, it was only possible to sign off per destination within the Drivers App. It is now also possible to sign off destinations in an order and send a delivery confirmation from within the planning environment.

Other new features

Registration new customers: Accept terms and conditions

New customers could already register themselves as customers with you. From now on, you can add a website link that lets them agree to your terms and conditions when they register.

Sort order of signed-off destinations in Drivers App

You can now decide the sort order in which signed-off destinations appear in the Drivers App. It is now possible for the signed-off destinations to appear at the bottom. For orders with many destinations, this means the driver does not have to keep scrolling down. The next destination will always be at the top.

Volume weight at rate type weight

For the ‘Weight’ rate type, it is now also possible to enter a volume weight. The volume weight is the volume of a parcel, converted to weight. The volume weight is determined by dividing the volume in cm by the set factor (usually 5000). If the volume weight is heavier than the actual weight, the heavier of the two is taken.

Truck-icon in Customer Portal

When the driver signed off the first destination via the Drivers App, a * always appeared in front of the destination. We have now added the ‘truck-icon’ to this in the Customer Portal. The icon appears behind the order number in the order overview. In the planning order overview, this icon was already active.

Courier Exchange

When documents and/or photos are added via CX , they are now also automatically added in the order in EasyTrans Software. The documents and photos are only added if you have activated the additional module Document Storage in EasyTrans.

UPS

In the connection with UPS, the following is new or improved:

Works with the new UPS API
Request and compare rates for different UPS services, including expected delivery date
Adjustable sales margin per customer
Shipping label as PDF, instead of GIF in order confirmation e-mail
Cut-off time for pickup today adjustable per customer
Electronic upload of customs documents (Paperless Documents)
Automatic status updates and sign-off of orders

We have built a new API integration, which also allows you to receive POD info back into EasyTrans.
