Location map – Route Planning & Optimisation

The Route Planning & Optimisation module is extended with a new feature, the location map. It is now possible to see at a glance where the destinations of the orders are located via the location map. This makes it even easier to plan a route.
First filter in the order overview on the orders that you want to plan. Then click on the location map icon on the right at the top of the screen. The location map will open. You can display the destinations on the map if you select the orders.

Multiple contacts per carrier

You may have multiple contacts or drivers at a transport company. You can therefore add multiple contact persons/drivers. For each contact, you can specify whether they have access to the Carrier Portal or the Drivers App. In the Carrier Portal, all orders for this carrier can be viewed. In the Driver App, the driver only sees the orders assigned to him.

As soon as you create a second contact person for a carrier, the order will give you a choice in the carrier field whether you want to select the transport company or a specific contact person within the transport company. It is also possible to send the transport order to one or more contact persons.

Online (pre)payment with Mollie

With the module Online payments, you can easily let your customers pay using Credit Card or PayPal. A payment link is added to the invoice and e-mail, which makes payment for your customers very easy. And you can also receive advanced payments with our pro-forma invoices.
To receive online payments via PayPal or Credit Card, you need an account with a Payment Provider. EasyTrans Software has chosen to work with Mollie. With Mollie, you do not pay a subscription fee, but only pay an amount per transaction.

On-board computer system Samsara

With a link between the Transport Management System (TMS) EasyTrans and Samsara, orders can be sent as routes to the Samsara App. If the driver completes a stop, the POD information, such as photos and signatures, is automatically processed in EasyTrans. A link between Samsara’s on-board computer systems and the EasyTrans TMS is customised for you so that you can use both systems optimally.

Carrier signature on transport documents

At the carrier, you can now add a signature or stamp of the carrier in EasyTrans. When the signature or stamp is added, it is also placed on the Delivery note and CMR. As a result, the Driver no longer has to sign manually and it cannot be forgotten either.

Tip: If you have the Premium Plus package, in addition to scanning, you can easily get the driver’s signature by having him sign a stop himself once via the Driver App. Download the signature in the order and then upload it to the carrier.

Transport documents in Drivers App

It is now possible for the driver to view the CMR or Delivery note digitally, from the assigned order, via the Driver App.

Note: When the driver opens the CMR or Delivery note via the app, it will be in PDF format. This is not an e-CMR and therefore not a legally valid transport document. Always ensure that the driver can provide a legally valid transport document.

Tip: Add the driver’s signature to the carrier to provide a signed document.

Change rates

It is possible to adjust rates without copying the product. With this option, all rates of the current product are adjusted. The change applies to all new orders. If you want to update the rates of existing orders, switch the orders to a different product and then switch back again to reset the rates.

It was already possible to adjust a rate by copying the product. In addition, it is now also possible to copy the product and keep the current rates.

Invoicing by product

It was already possible to invoice specific customers, but now you can also filter on specific product. This additional filter is now available when creating invoices. If you do not make a selection at products, all orders that are on checked will be invoiced.

Only products, which orders are ready for invoicing (Status ‘checked’), are displayed.

Link carrier to vehicle

Link carrier to standard vehicle
Does your carrier or driver always use the same vehicle type or a specific vehicle from the fleet? You can now link the carrier to a vehicle, which will be selected when choosing a carrier.

Vehicle type

If you choose the vehicle type, this is only displayed behind the carrier name, when you select a carrier. The vehicle is NOT copied on the order, as this could affect the price.

Vehicle from fleet

If you choose a vehicle from the fleet, the vehicle WILL be copied on the order. This ensures that the order is always linked to the vehicle that is actually driven by the driver.

Advanced settings

New advanced settings have been added to the system. All these new settings can be set via ‘Settings’ > ‘General’ > ‘Advanced’ tab.

Total weight and load meter or volume

By default, ‘Goods & Distribution’ allows you to choose packages with their corresponding weights and dimensions, but you can also convert this to other options.
By default, weights are entered per unit, but it is now also possible to use total weights.
The amount of space the goods need is by default set based on dimensions (cm), but this can now be changed to load meters or volume.

Hitching and unhitching

In the order, the destinations have the options ‘Pick-up, Delivery or Pick-up and Delivery’ activated. From now on, it is possible to add the additional options ‘Hitching, Unhitching and Rehitching’. By activating this option, you can specify the action for each destination.

Assign planner and creation date

You can set up the order overview as you wish. We have now created two columns that can be added to it:

Planner column
When you create a new order, it defaults to the user who is logged in. Of course, you can change the planner in the order to another user.
Created column
You can see in the order via order history who created the order and when, but to also see the date and time in the order overview, a ‘Created’ column has been added. This allows you to see from the order overview when the order was created.

Hide packages rate type

By default, the rate type ‘Package’ is always at the top of the selection list in goods entry. If you do not use the rate type ‘Package’, you can hide this rate type.

Disable Track & Trace

The order confirmation e-mail contains a Track & Trace link with which you can view the current order status on the Track & Trace page, but you can also disable the Track & Trace link. The Track & Trace page can also be disabled at the customer level.

Import multiple files

It is now also possible to import multiple files at the same time. For example, from different customers or different products. In this case, you need to add columns in the files to enter the customer and/or product numbers so that the orders are imported correctly.

Check EU VAT number

When you add a new customer or carrier to your system, you can now check whether the VAT number is correct if you have an EU customer. After entering the EU VAT number, click on the green checkmark. The data will be checked with the VIES register. You will receive a pop-up with the results of the VAT number check.

Export

Some adjustments and innovations have been added to the export option.

Filters

‘Planned and picked up’ option has been added to ‘Order status filter’.
At ‘Customer filter’, you can now also filter on ‘ Composite routes’.

Exports

In the ‘Order’ exports, the column ‘Order status’ has been added.
In the ‘Orders – Rates’ export, the columns ‘Number’ and ‘Unit’ have been added.
In the ‘Carriers’ export, the contacts have been added. This export is now called ‘Carriers & Contacts’.

Periodic orders

Some adjustments and innovations have been added to the periodic orders menu.

Quick edits

A few options have been added to the ‘quick edits’ in the periodic order overview.
You can now make a few changes from the periodic order overview, without opening the order. The items you can change are, product, customer, carrier, vehicle and branch.

Optimise route

For periodic orders, it is possible to optimise the route, display the location map and calculate ETA.
When you optimise the route for periodic orders and have the ETA calculated, this is also copied on the orders that are automatically created 7 days in advance.

Start date and end date

In the periodic order overview, we added the ‘Start and end date’ columns. An additional colour has also been added to the overview. Periodic orders with a yellow colour are active, but their end date has expired.

Order confirmation recipient

If an e-mail address has been entered for the recipient in the order, then the recipient will immediately receive an order confirmation when sending the web order. Don’t want the recipient to receive an e-mail directly? Then you can turn this off at General > Settings > Tab Orders.

Comments on quotations

When you send a quotation to the customer, or the customer sends you a quotation from the Customer Portal. Then it is possible in the Customer Portal to add text to ‘ Comments on the delivery note’ until the quotation is approved.

Batch operations

In the carrier overview, you can now run an operation for multiple carriers at once.
Additional filters such as ‘Vehicles’ and ‘ Branches’ have also been added.

Details

Do you use the Purchase module? You can now also view the purchase invoices of the carrier via the carrier overview.
With the ‘History button’ you can view the carrier history. This shows with date, time and user when and by who the carrier was created.

Other new features

SDCN assign job to carrier

You can assign a driver to the job with the button ‘Assign Order’. As soon as the drivers finishes the job and uploads the POD information, it will be visible in EasyTrans, and the order will automatically be signed off. A delivery confirmation will be sent to the customer, containing the POD info.

Language email recipient

If you send an e-mail to the recipient from within the order itself, it is now possible to customise the language. This defaults to English, but can be changed to Dutch, German or French.

Rates Customer Portal

At products, you can now indicate whether you want to display the rates in the Customer Portal on the basis of ‘Total price only’ or with ‘Detailed rates’. The option not to display rates was already possible.

Composite orders

When you use the Route planning & Optimisation module and merge a route, from now on the original orders will be placed in a slightly lighter colour to give you even a better overview.

Import addressbook opening hours

Two columns have been added to the address book import file. These concern the opening hours. You can optionally enter this in the ‘Open from’ and ‘Open to’ columns.

Order overview filter

Three new statuses have been added to the ‘Order status’ filter.
Finished composite routes’, when using composite routes, you can now view these finished orders faster.
‘Planned and picked-up’ and ‘Planned and not picked-up’: if you use the Drivers App or indicate from the planning that a destination has been picked-up, you can get a better overview with these statuses.

E-mail modified transport order

When there has been a change in the order and you want to send the transport order again by e-mail, the subject of this e-mail has been changed to ‘Modified transport order’ and in the e-mail the first sentence has been changed to ‘Hereby you receive the modified transport order’. This makes it even more clear that this is not a new transport order, but a change to an existing transport order.

Rate change for signed-off orders

When you change a rate or the fuel surcharge, a pop-up will follow, telling you whether the existing orders should be updated. Previously, only quotations, open and and planned orders were updated, but from now on signed-off orders will also be updated with the new rate if you choose update.

In the API documentation, Webhooks and the REST API have been updated.

The webhooks have been extended and as a result can now also provide a status update when a new substatus is added.

It is now possible to query even more data with the Rest API.

Connecting EasyTrans users

From now on, orders can also be signed-off by the planning, including POD information. Previously, the POD information was only sent when using the Drivers App.

E-mail confirmation per destination

When the ‘Email confirmation per destination’ option is checked on the customer, an email is now also sent when the last destination is being signed off via the Drivers App.

Payment method filter

In the invoice overview, the ‘Payment method’ filter has been added.

Staying logged in to Drivers App

When you log into the Drivers App for the first time, you can specify to ‘stay logged in on this device’. This saves you having to enter your username and password every time.
