EasyTrans Software strives to make the Transport Management System EasyTrans optimally suitable for your company. We are constantly working on perfecting the software. New features are made available to our customers on a regular basis.

New and improved functionalities are provided by EasyTrans Software through an automatic update. Our customers do not have to take any action themselves.

Orders

Destinations in your order

It’s a lot easier to rearrange your destinations! You can now easily move your destinations by dragging and dropping them. Details that are entered under ‘Goods & Distribution’ will also be adjusted immediately and correctly.

Mileage calculation

If you change an address or the order of destinations within a transport order, the previously calculated distance will be reset in the price calculation. This ensures that a wrong quantity cannot be calculated and invoiced by mistake.

Duplicating orders

Do you regularly need to enter a lot of orders for a particular customer? To make this easier, a ‘Duplicate’ button has now been added to the order screen. This allows you to quickly copy an open order to a new order. The new order will be copied and opened immediately with all entered details. This means you can continue working immediately!

Mail options

When you send an e-mail with an order confirmation or a transport order, you can now also include the shipping label (10×15 cm).

Display of goods in the price calculation

All goods to be transported that you enter via ‘Goods & Distribution’ will be displayed per line of goods in the price calculation in your order. Previously, you could only view your totals here. Now you can see the number, the weight and the dimensions per line of goods.

Order overview

Order substatus

With the new release, you can now also search, sort and filter by substatus in the order overview. It is also possible to add a colour to a substatus, which makes it more noticeable in your order overview.

Do you use the Customer Portal? Then your customer can also search, sort and filter by substatus in the order overview. Your chosen colours are also visible.

Filter on multiple products and on substatus

It is now possible to set the display of your order overview to multiple products. In addition, you can also filter on (multiple) statuses.

Quick operations: Exchanging orders between EasyTrans users

For some time now it is possible to exchange orders with carriers that also use EasyTrans. The details of an order are forwarded one-to-one as much as possible.

This ‘new’ feature has been further expanded for carriers who exchange one type of service/product.
You can now also send your order(s) to the scheduled carrier(s) from the order overview. You can select multiple orders and forward them via the ‘Send to EasyTrans carrier’ shortcut.
Note: If you have set up more than one product for a carrier, the first product you entered will be selected automatically when forwarding from the order overview.

Quick operations: Sign-off orders with delivery confirmation

In your order overview you always had the option to sign off multiple orders at the same time. However, no delivery confirmation was sent in this case. This is why an additional quick edit has been added which enables you to do so: Select your orders in the order overview and select ‘Sign off with delivery confirmation’ to sign off multiple order and send a delivery confirmation.

Do you have customers who do not want to receive a delivery confirmation? Then you can still use the quick edit. With the new release, you can not only specify per product whether a delivery confirmation has to be sent, but also per customer. You can find this settings in the ‘Customer-specific settings’ in the customer data. Once you have indicated that a customer does not want to receive a delivery confirmation, the order will be signed off and no delivery confirmation will be sent.

QR code on CMR & Delivery note

Do you use scanning software to save your scanned documents directly with the right order? A QR code is now displayed on the waybill and CMR. With this QR code a scanner can automatically recognize the order number.

Markup of conditions

When entering the general terms and conditions, you can now also use the HTML markup language. This can be useful if you want to highlight text or add a link to the terms and conditions on your website for example.

You can enter your terms and conditions via: Settings > General > Invoices tab

Periodic orders

Scheduling

The automated planning of periodic orders has been further expanded! Recurring orders can now be scheduled at weekly intervals, weeks of the month and start and end dates. As a result, periodic orders can be planned more flexibly. For example every other week on Monday or every last Friday of the month.

When saving a periodic order, the system will also ask you if the orders should be scheduled immediately. You no longer have to wait a week for the newly entered order to be automatically scheduled.
Note: Periodic orders are still scheduled and displayed in your order overview seven days before the execution date.

Order overview

The order overview of the periodic orders has been renewed! Just like in the normal order overview, you can now search, filter and sort in it. Also, more data is shown and handy quick edits have been added, making the overview very user friendly!

Carrier Portal / Drivers App

Signing off details Drivers App

The processing of the data that is submitted via the Drivers App has been optimised! Delay times, loading and unloading times and comments that a driver submits via the Drivers App were always displayed as comments at a destination. Because this information should not always be shared with a customer, this can now be set differently.

From now on, the received data will be placed in a separate field at the destination. This field – carrier comments – is only visible in the planning environment. The data can be processed by the planner and if necessary the content can be deleted. If the field no longer contains any data, it will disappear again

Comments of carrier

Do you want to share the comments of the drivers with your customer? But not the waiting time and loading and unloading time? That is possible!
You can set this via: Settings > General > Orders tab > Tick ‘Use separate comments field for comments from the Driver App’.

Automatically calculate delay time, total distance, loading and unloading time

By default, the submitted times and distances are stored in the ‘Carrier comments’ field. The planning department can then decide whether this should be charged to the customer. Do you prefer that the information provided by the driver is saved directly in your price calculation? This is now possible!

This can be set via: Settings > General > Orders tab > Settings for the Drivers App
Note: If the transport order has multiple destinations, the data will be added together. For example, you can no longer see how much waiting time there was at a particular destination.

Send confirmation at each destination

Do you have transport orders with multiple stops? And do you want to keep your customer informed when a destination has been reached? You can now automatically send an email to your customer to confirm a destination is signed off. This option can be set at customer level under ‘Customer-specific settings’.

Invoices

Factoring

Factoring is a form of debtor financing. An entrepreneur transfers his invoicing and debtor risk to a specialised company, the factoring company. In exchange for a fee to this company, the entrepreneur immediately receives his money.

Do you use factoring? Then often you will need an adjusted payment instruction on your invoices.
EasyTrans Software can create an extra payment method ‘Factoring’ for you, with which the correct payment instructions are placed on the invoice and in the email. You can set up payment methods per customer, this also applies to the ‘Factoring’ payment method. You can therefore indicate which customer should receive your regular invoices and which are outsourced to a factoring company.

For setting up the ‘Factoring’ payment method, a one-off fee will be charged of one hour custom work software adjustment. After setting up and activating the payment method, there are no additional monthly costs. The prices for custom work software adjustment can be found at prices.

Download invoices

The invoice overview contains a new shortcut: ‘Download invoices’. This makes it possible to download multiple invoices at once!

Irrecoverable invoices

Unfortunately, it sometimes happens that invoices are not paid. To mark your invoice as irrecoverable in your invoice overview, an extra payment method ‘Not paid’ has been added. With this method, despite no payment an invoice will be marked as ‘paid’ so that it no longer will be displayed as ‘open’.

Tip: Would you like to see the loss of income due to irrecoverable invoices?
Export your invoices to an Excel file and filter by the payment method ‘not paid’.

Email address copy invoice

Of all emails sent you will receive a copy in your own mailbox. By default, this copy is sent to one general email address. From now on it is possible to set up a separate email address for the copies of invoices. When you set this up, the copy emails containing the invoices, purchase invoices and payment reminders will be sent to this email address.

You can enter your e-mail address via: Settings > General > ‘Copy invoice email address’

Customers

No delivery confirmation

In addition from setting up at product level whether or not a delivery confirmation has to be sent, this can now also be done at customer level. You can do this at the ‘Customer-specific settings’ in the customer data.
Do you have a number of customers who do not want to receive a delivery confirmation? But you would like to be able to sign off multiple orders at the same time? You can still use the ‘Sign off with delivery confirmation’ shortcut in the order overview. You can easily select multiple orders and sign off with the quick edit. If you have indicated that a customer should not receive a delivery confirmation, the order will be signed off and no delivery confirmation will be sent.

Tip: The default setting that applies to all customers can be set via: Settings > General > Customers tab. Here you can enter the default settings that will be applied to each new customer that is created. Of course, you can still choose to deviate from these settings on a client-specific basis.

Carriers

Attributes Cooled / ADR / Vehicle operator’s licence

Would you like to be able to easily see which carrier has the necessary certificates?
Within the carriers details you can now specify which certificates this carrier/driver has. The saved attributes are displayed in your ‘Carrier overview’ and are visible when planning a transport order.

The following attributes are available:

Cooled;
Strict legal conditions apply to conditioned transport. Indicate under ‘Cool’ whether your carrier complies with the correct attributes.
ADR;
Pursuant to the ADR convention, drivers who transport dangerous goods must be in possession of an ADR certificate of professional competence.
Vehicle operator’s licence;
Any vehicle being operated over 3,500 KG gross weight needs an operator licence.

Rates

Rate change – Update orders automatically

Do you have rates that change regularly? For example, a monthly change in the fuel surcharge? From now on you can apply changed rates directly to existing (open) orders. When saving a change in rates, you can now indicate whether you want to update existing (open) orders or not. Don’t want to do this? Then click on ‘Do not update’. The existing orders will remain the same, the rate change only applies to new orders.
Update orders:
Enter the period for which you want to update the orders and click on ‘Update’. The rate will now be reset for orders that fall within the selected period. Of course, orders for which the price has been ‘locked’ will not be updated.

Additional modules

Purchase module

Purchase invoicing has been renewed, you now have extra options that are comparable to the sales invoicing.

Select (multiple) carriers to create purchase invoices for
Submit next purchase invoice number
Re-use deleted purchase invoice numbers

Do you use the module Extra Branches? Then each office now has its own purchase invoice numbering.

The invoice overview with your purchase invoices is also updated. Various quick-change operations have been added to make the overview even more user-friendly. Among other things, you can now send multiple purchase invoices by email, mark them as paid and download them.

Document storage module

Document name

With the document storage module you can add documents to your orders. The features for adding the documents have been improved. When you now add a document to your order, the original file name of the document is displayed in the ‘Document name’ field. If required, you can change this name. The name of the document is only visible in the ‘Attach document’ screen. Elsewhere, the document is still called ‘Document_ordernr_address.pdf’.
