New! Connection with Haulage Exchange

Haulage Exchange
Haulage Exchange is a division of Transport Exchange Group Ltd. The operator behind the busiest independent freight Exchanges in the UK market. Haulage Exchange offers an online platform for owner drivers, haulage companies and forwarders.

Payment period payment reminders

By default, the payment period of a payment reminder is set to seven days. You can now adjust this payment period yourself in your general settings.

Adjust the payment period to a certain number of days; When sending a payment reminder, the following sentence is placed in the e-mail: “We ask you to transfer the outstanding amount to us within 7 days, stating the relevant invoice numbers.“.
You can adjust the number of days in this sentence: In the main menu, go to ‘Settings’ > ‘General’ > ‘Invoices’ tab > Enter the correct number of days under ‘Payment reminder settings’ > Click ‘Save & Close’.
Change payment period to ‘as soon as possible’; Do you prefer not to specify a date in the e-mail of a payment reminder? Then you can choose to include the following sentence in your e-mail: “Please transfer the outstanding amount to us as soon as possible, stating the relevant invoice numbers.“.
You can set this up as follows: From the main menu, go to ‘Settings’ > ‘General’ > ‘Invoices’ tab > At ‘Payment reminder settings’, set the number of days to 0 > Click ‘Save & Close’.

Order overview – Batch operations and filters

The batch operations in the order overview have been renewed, the operations are more clearly described and displayed in a more convenient way. In addition, there are new batch operations, filters and new options for existing batch operations:

Merge orders – Ignore ‘duplicate’ pick-up addresses; When merging orders, you can choose to ignore ‘the same’ pick-up addresses. This can be useful when, for example, you are merging transport orders that need to be picked up at the same address. Use the new option ‘Ignore the same pick-up addresses’ to indicate that the pick-up address should only be implemented once. The pick-up address will be processed once (from the first order), the other pick-up addresses (with the same address) will be ignored.
Changes to orders; It is now also possible to make changes to orders with the help of a quick edit:
- Product; Change the product of your order, rates are automatically recalculated accordingly.
- Customer; Change the customer, rates will be automatically recalculated accordingly. If the address of the originally set customer is present in the destinations, this destination can optionally be updated with the address of the newly selected customer. The distance will then also be recalculated automatically. Registered comments of the newly selected customer will also be included in the order. In this process, the existing comment field is first checked for manually entered entries. Are there none? Then the comment will be taken over. Of course, this only applies if you have specified in your general settings that comments must be included in orders.
  Note: When you change the customer ín an order, the destination will always be updated with the address of the newly selected customer.
- Date; Change the set order date & time. The dates for the destinations are also automatically adjusted with the same number of days.
- Branch; Do you use the module Extra Branches? If so, you can now assign orders to another branch using a quick edit from the order overview.
Duplicate – Vehicle; When you duplicate orders from the order overview you can now choose whether or not to take over a vehicle to the new order.
Order actions; There are several new options for order actions:
- Order confirmation to customer; Send order confirmation(s) to the customer(s).
- Transport order to carrier; Send transport order(s) to the carrier(s).
Order list; There are new options for creating an order list:
- Only show first destination (pickup list); With a pickup list, only the first destinations of the orders will be shown on the order list.
- Hide first destination (delivery list); With a delivery list, the first destinations will not be displayed on the order list.
Planned / Signed off / Checked; This new combination filter shows the orders with the status planned, signed off and checked in your order overview.

Connection with EasyTrans users

Do you work with logistics providers who also use EasyTrans? Then you are able to exchange data of transport orders. Additional options are now available when sending data:

Name of customer; If you want the carrier to know who your customer is, you can send the name of the customer with the order details. The name will then be displayed in the field ‘Comments on the invoice’ of the carrier.
Tip: You can set the default setting for this option via ‘Settings’ > ‘General’ > ‘Order emails’ tab > under ‘Standard options for transport order’ select if you want to include the customer information by default or not.
Purchase rates; Do you use the Purchase module? Then you can now also forward the rate that has been agreed with the carrier. When exchanging the order details, the total purchase price will be displayed in the field ‘Comments internal’ at the carrier.
Tip: The default setting for this option can be set via ‘Settings’ > ‘General’ > ‘Order emails’ tab > Under ‘Standard options for transport order’ select if you want to send the purchase rates by default.

Invoice data in orders

Various improvements make it easier to look up invoice data in orders:

Invoice date in the order; When you open an invoiced order, the date of an invoice will now also be displayed. You can also directly open the corresponding invoice by clicking on the invoice number.
Button ‘Open invoice’; When you use the button ‘Open invoice’ in an order or in the order overview, you will no longer be redirected to the invoice overview. This button now immediately opens the corresponding invoice.
Invoice data in order history; You can now also find the invoice numbers you created in the order history of orders. In addition, the actions of deleting invoices are recorded in the order history.
Purchase module; Do you use the purchase module? The improvements mentioned above also apply to the purchase invoices!

Transport documents

CMR – Creation date; As with the other transport documents, the CMR now specifies when it was created. The date and time is displayed at the bottom of the document. This ‘timestamp’ ensures that you can prove that no changes have been made to the information on the document since this date.
Order list via quick edit; Additional options are available for creating order lists. These options are only available when you create an order list using the quick edit in the order overview:
- Only show first destination (pickup list); With a pickup list, only the first destinations of the orders will be shown on the order list.
- Hide first destination (delivery list); With a delivery list, the first destinations will not be displayed on the order list.

Customer Portal

Request quote – Confirmation email; When your customer requests a quote via your Customer Portal, in addition to the direct confirmation, an email is sent to the requester. This email contains the confirmation and the details of the quote request. By default, you will receive a copy of all emails sent from EasyTrans. As a result, the planning now also receives an additional notification of the requested quote.
Accept quotation – Order Confirmation; When your customer accepts a quote using your Customer Portal, in addition to the direct confirmation, an order confirmation will now be sent by e-mail.
Accept new web-order first; If you have indicated with a product that a web-order must always be accepted first, an additional warning will appear when your customer places an order via the Customer Portal. After sending the order, the customer will receive an extra explanation about what sending an order means and that the order will only be definitively placed once it is accepted by the planning department.
Deactivate customers – No access; Deactivated customers will no longer have access to the customer portal. You do not have to adjust this manually in the customer data anymore.

Carrier Portal / Drivers App

Signed transport document with delivery confirmation; When you process orders using the Drivers App, you can save digital signatures with your order. It is now possible to attach a signed transport document to the delivery confirmation, which you send to your customer by e-mail. You can specify which transport document you want to send – a delivery note, order list or CMR. The digital signature is placed on the transport document and sent with the delivery confirmation.
Tip: In your general settings, you can set if and which transport document you want to send automatically: Go to ‘Settings’ > ‘General’ > ‘Order e-mails’ tab > Set your default choice. Of course, you can deviate from this per delivery confirmation.
Note: You were always able to enclose a signed delivery note with an invoice. Do you now prefer to attach the documents to your delivery confirmation because of this new option? Then don’t forget to disable the automatic inclusion of documents with your invoices: Go to ‘Settings’ > ‘General’ > Tab ‘Customers’ > Disable ‘Send enclosed documents along with the invoice’ > Copy the setting to all existing customers > Click ‘Save & Close’.
Document storage module – Attach Documents; For users of the Document Storage module it is now also possible to add documents using the Driver App. In addition to the two images – which you can always add – a carrier can now also add documents. These documents will then automatically be saved in your Document Storage module. With the Document Storage module you can store two documents at each destination in an order. In the Driver App, a carrier is able to see how much space is available at a destination.

Delivery date and time for logistics services

There are new product options for setting the delivery date and times for your services:

No deliveries on Saturday and/or Sunday; There is a new option to automatically skip deliveries on a Saturday or Sunday. You can find the new setting for this in the product options: ‘No delivery date on: Saturday | Sunday‘.
Is a entered delivery date on a Saturday or Sunday? Then, when this setting is activated, the date at the delivery address will automatically be set one or two days later.
Fixed delivery time; The product options can now also include a fixed delivery time, for example between 8:00 and 12:00. You can use the setting ‘Fixed delivery time: Between … and…‘ for this.
Tip: You do not work with period times? Then you can still enter a fixed delivery time, in this case only enter a time in the last box.

Export

New export functions and filters are available:

Outstanding invoices per customer; This export gives you an overview of the invoices per customer that have not been paid yet.
Orders – with 2 destinations; This export function is for companies that provide services for two destinations, a pick-up and delivery address. The export file is a simplified version of the existing export function ‘Orders – extended (2 worksheets)’. The export file contains the data of the destinations and the goods to be transported next to each other on one worksheet.
Note: Without filters set, the export function only works if all orders consist of two destinations. Do you also provide services with multiple destinations? Then use the available filters when exporting.
Substatus filter; For various export functions, an extra filter has been added that can be used to filter on the substatuses you use.

Purchase module

Filters purchase invoicing in order overview; Extra filters are added to the order overview for the purchase module. With the new filters you can quickly see which orders are marked ready (or not ready) for purchase invoicing. You can find the filters under the order status filter.
- Ready for purchase invoice; Displays orders that have been marked as ready for purchase invoicing.
- Not ready for purchase invoice; Displays orders that are not yet marked as ready for purchase invoicing.
Exchange purchase rates between EasyTrans users; When sending order data to other EasyTrans users, you can now also include the agreed purchase rates. When exchanging the order data, the total purchase price will be shown in the ‘Comments internal’ field at the carrier.
Tip: You can set the default setting for this option via ‘Settings’ > ‘General’ > ‘Order emails’ tab > At ‘Standard options for transport order’ specify if you want to send the purchase rates by default.
Filter on carrier in purchase invoice overview; To make it even easier to search for a specific purchase invoice, an extra filter has been added to the purchase invoice overview. With the filter the overview can be filtered on a specific carrier.
Purchase invoice details in orders; Various improvements make it easier to consult purchase invoice data in orders:
- Purchase invoice date in the order; When you open an invoiced order, the date of an purchase invoice will now also be displayed.
- Button ‘Open Purchase invoice’; When you use the button ‘Open purchase invoice’ in an order or in the order overview, you will no longer be redirected to the purchase invoice overview. This button now immediately opens the corresponding purchase invoice.
- Purchase invoice data in order history; You can now also find the invoice numbers you created in the order history of orders. In addition, the actions of deleting invoices are also recorded in the order history.
VAT obligation carriers; The settings for the VAT obligations are enhanced. Do you do business with a foreign carrier? Then you can specify in the data of a carrier how the VAT should be calculated:
- Yes
- No, within EU (VAT shifted)
- No, outside EU (no VAT)
- No, exempt from VAT
Payment period carriers; Like with your customers, you can now set a payment period for carriers. Once a payment period is set in the data of a carrier, the period will also be displayed on a purchase invoice. Because of this payment term, you can also monitor the due dates of the purchase invoices in the purchase invoice overview. To calculate the due date of a purchase invoice, you can choose from four options:
- From purchase invoice date; The payment term is added to the purchase invoice date.
- From end of month purchase invoice date; The payment term will be added to the last day of the month of the purchase invoice date.
- From receipt date; The payment period will be added to the date of receipt of the purchase invoice.
- From end of month receipt date The payment period will be added to the last day of the month of receipt of the purchase invoice.
Tip: Under ‘Settings’ > ‘General’ > ‘Carriers’ tab you can set a default payment term and, if required, apply it to all existing carriers.
Column ‘Expire date’ purchase invoice overview; The purchase invoice overview contains an extra column ‘Expire date’. If a payment term has been set at the carrier you can now see here when the purchase invoice needs to be paid.
Filter ‘expired purchase invoices’ purchase invoice overview; If a payment period has been set for carriers, you can monitor when a purchase invoice needs to be paid. To provide insight into which purchase invoices have exceeded the term, an ‘Expired purchase invoices’ filter is added in the purchase invoice overview. When no payment term was set for carriers, you will see a dash in the column ‘Expire date’.
Export; In the export functions ‘Carriers’ and ‘Purchase invoices’, the payment term and/or the due date of purchase invoices will also be exported now.

Document storage module

Add documents in Drivers App; The Document Storage module is expanded. With the latest update, documents can now also be added to destinations using the Drivers App. In addition to the two images – which you can always add with the Drivers App – a carrier can now also add documents. These documents are automatically saved in your Document Storage module. With the Document Storage module you can store two documents at each destination in an order. These documents can now also be added with the Drivers App. A carrier is able to see how much space is still available at a destination in the Drivers App. Just like a planner, a carrier can add the following file types: pdf, png, jpg, gif, tif or bmp.
Tip: For smartphones there are several apps available that convert an image into a neatly cropped PDF, such as Camscanner.

Module Connection with external systems (API)

EasyTrans Software offers several options to connect external software with EasyTrans. EasyTrans has developed an API for these connections. This API ensures that information can be exchanged in a structured and uniform manner. Our API is further improved:

Orders – Rate types with goods; Rate types can now also be included with the goods.
Orders – Webhooks; With a webhook, a user can receive a status update via the API once an order has been delivered.
Customers- update contacts; Contacts can now be updated via the API.

Module Extra Branches

Quick edit – Assign branch to orders; The batch operations in the order overview have been renewed and expanded. You can now also assign orders to a branch from the order overview with the help of a quick edit: Select the orders in the order overview > Under ‘With selected orders’ click on ‘Branch’ > Select the correct branch.
The orders will now be assigned to the branch you have selected.
Filters customer overview; To quickly see which customer belongs to which branch, the customer overview is equipped with extra filters:
- Branch filter; Displays the customers belonging to the selected branch.
- Company filter; Displays the customers who receive all correspondence (layout) on behalf of the selected company name.

EasyTrans

Easy to use; EasyTrans can be operated more efficiently. The online Transport Management System now uses ‘sticky navigation’. This means that navigation bars with important buttons are accessible on the entire page, even when scrolling up or down. ‘Sticky navigation’ basically means that the navigation bar ‘sticks’ to the entire page.
Column goods – Order overview; The column ‘Goods’ now also displays the total weight.
Calculate loading meters; When you enter goods via ‘Goods & Distribution’, in addition to the total volume, the amount of loading meters is now also calculated.
Customer comments – Take over when customer changes in order; It was always possible to automatically take over customers’ CRM notes and comments when creating a new order. Now the comments will also be taken over when you change the customer in an existing order. The comment field will first be checked for manually entered additions, aren’t there any? Then the registered comments of the newly selected customer are transferred to the order.
Of course, comments will only be taken over if this is set in your general settings.
Periodic orders; The execution moments of periodic orders are displayed more clearly in the overview.
Customer overview – Column Comments; In the customer overview an extra column is added where the saved customer comments are displayed.
New payment method customers; There is a new payment method available which you can set in the customer data: Credit/Debit card.
Privacy contacts; Contacts/Users passwords are displayed as dots.
Carrier overview – Search tool; The search function within the carrier overview is extended. You can now also search on carrier number or creditor number.
Change carrier number; As with customer numbers, you can now also change a carrier number: Open the relevant carrier > Click on ‘Change carrier number’ > Enter the new number > click on ‘Save’.
Invoice overview – Filter by customer; To make the search for a specific invoice even easier, an extra filter is added to the invoice overview that can be used to filter the overview on a specific customer.
Address Book; The address book is moved to ‘General’ in the main menu.
Fleet – Phone number; Do you work with fixed telephone numbers for each vehicle? You can now save a telephone number with the vehicles in your fleet. Did you save a phone number and select the vehicle in an order? Then the call icon will be displayed so that you can quickly call from within EasyTrans.
Fax numbers; It is no longer possible to register fax numbers. Are there existing fax numbers in your records? These will still be displayed but you will no longer be able to register new fax numbers.
Countries page; The country page displays the country names in the active language only.

Module Connection with accounting package

Export customer and carrier data; With the new release, only new or changed data of your customers and/or carriers will be exported.
Do you want to export all data? Then – before you click on ‘Export’ – deselect ‘Only data that have not been previously exported’.

Module Multiple company names

Company-filter customer overview; The customer overview contains an extra filter: ‘Company filter’. This allows you to quickly see which customer is set under which company name.

Module Connection with UPS

Pick up; Does UPS collect shipments itself with your services? It is now also possible to schedule pick ups with the connection with UPS.
