EasyTrans Software strives to make the Transport Management System EasyTrans optimally suitable for your company. We are constantly working on perfecting the software. New features are made available to our customers on a regular basis.

New and improved functionalities are provided by EasyTrans Software through an automatic update. Our customers do not have to take any action themselves.

ADDITIONAL MODULES

Purchase module

The Purchase module allows you to keep track of the purchase costs and revenues of your transport orders. For each sales rate, you can set a purchase rate, if required with carrier-specific rates. This way, you can easily see the yield of an order. You can also create purchase or self-billing invoices. This makes it easy to check whether received declarations from your hauliers are correct. New or improved in this release:

Revenue/Costs orders

Order overview – Margin column
In the general settings you will find a new tab ‘Advanced’ where you can enable or disable various advanced settings for your order overview. It is now also possible to activate a ‘Margin’ column. This column shows the difference between the sales and purchase price of the order in your order overview.

Purchase rates

Rate overview
Entered purchase rates and minimum purchase rates are now also displayed in the rates overview.

Purchase invoices

Purchase invoice overview
The search function in the Purchase Invoice Overview has been improved. It is now possible to ignore set filters and search all purchase invoices.
Goods on purchase invoice
If you have specified in your general settings that you want to show goods on sales invoices, this applies to purchase invoices now as well.
You can find this setting under ‘Settings’ > ‘General’ > ‘Invoices’ tab > ‘Show goods on invoice’.

Export function Purchase data

With a Premium or Premium Plus package, you can make use of an extensive export function. In the export options ‘Orders – Turnover per client’, ‘Orders – Turnover per carrier’ and ‘Orders – Turnover per product’, an extra column is added with the margin and an extra line with the totals.

Document Storage module

The Document Storage module enables you to digitise your file management in your TMS, safely and completely. You can store your documents – for example signed transport documents or images – with your orders. When stored, you can optionally share your documents with your customers or carriers. New or improved in this release:

Document storage

Suitable for Microsoft Office file types
In addition to pdf files and images, you can now also save Microsoft Word, Excel and Outlook files with the Document Storage module.
Documents internal by default
Public documents are visible in a Customer Portal, Carrier Portal (if selected) and you can share them with customers and carriers. Internal documents are not shared in any way. You can now set that attached documents should be saved as ‘internal documents’ by default.
To do so, go to ‘Settings’ > ‘General’ > ‘Advanced’ tab > ‘Document storage settings’ > ‘Mark documents saved via the ‘Attach document’ button as internal by default’.

Share Documents

Sign off with a batch operation
The batch operation ‘Sign off with delivery confirmation’ in the order overview has been extended. It is now possible to send saved documents along with the sign off email as well.

Carrier Portal – Document storage

With a Premium Plus package, a Carrier Portal / Driver App is part of your Transport Management System. Combined with the Document Storage module you can also share/receive documents via the Carrier Portal / Driver App. New or improved in this release:

Recognise attached documents
A carrier can also attach documents to orders via the Driver App. The ‘attach document’ screen now shows the text ‘attached by driver’. This means that the document was added via the Driver App.
Documents internal by default
Public documents are visible in the Customer Portal, Carrier Portal (if selected) and you can share them with customers and carriers. You can now specify that documents which are added via the Driver App are saved as ‘internal documents’ by default.
To do so, go to ‘Settings’ > ‘General’ > ‘Advanced’ tab > ‘Settings for document storage’ > ‘Mark documents saved via the Driver App as internal by default’.
Connect EasyTrans with other users
Is your system connected to the system of a supplier that also uses EasyTrans? If both EasyTrans systems use a Carrier Portal to sign off orders, sign-off information can now be shared! Does the client (sender of orders) also use the Document Storage module? And does your driver add documents via his Driver App? Then publicly stored documents are also shared with the client.
Delivery confirmation
Depending on your settings, orders can be signed off in several ways via the Driver App. The following changes have been made for sending delivery confirmations:
- Sign off to planning
  Are orders first signed off to the planner? If documents are attached via the Driver App, they will be selected by default to be sent along with the delivery confirmation.
  If a document is marked as ‘internal’, it will of course not be sent.
- Sign off completely automatically
  Are orders signed off immediately via the Driver App? Then your customer will receive directly a delivery confirmation. If any documents are attached via the Driver App, they will be sent along with the delivery confirmation (as with any attached images).
  If a document is marked as ‘internal’, it will of course not be sent.

Route Planning & Optimisation module

The Route Planning & Optimisation module allows you to combine multiple orders (from different customers) into one order, a composite route. A composite route stays linked to the original orders. In addition to combining and planning orders, you can also generate optimised routes for (composite) orders.

Composite routes

Status Completed
Composite routes that you have marked as ‘Checked’ are given a separate status: ‘Completed’. Completed orders are marked in grey in your order overview and can be filtered via the order status filter ‘Checked or Completed’.
Calculate distance, travel time and stops without optimisation
If more than 25 destinations are entered, a new (additional) button ‘Calculate route without optimisation’ is shown. With this button you can calculate the distance, travel time and the number of extra stops via your chosen Optimisation provider. The calculated additional stops will be automatically processed in your price calculation.
Change destinations
You can change destinations in a composite route. As composite routes are connected to the original orders, such changes may affect them:
- Changing the destination
  When a destination in a composite route is altered via the address book, the corresponding destination in the original order will be disconnected.
- Remove delivery addresses
  When you remove a delivery destination from a composite route, the original order will be disconnected and given the status ‘Open’.
  Note: Did the original order contain multiple delivery addresses? When you remove one delivery destination, the original order is disconnected completely.
- Remove Pickup Destinations
  When a pickup destination is removed, the associated goods lines will no longer be deleted. Instead they will be assigned to the first pick-up address.
  Tip: Does a composite route often start from your own address? Add your own company to the address book so you can easily enter this address as a starting point/first pick-up address.
Connect EasyTrans with other EasyTrans user
Is your system connected to that of a supplier who also uses EasyTrans? If both systems use the Carrier Portal to sign off orders, sign-off information can now also be shared! If the sign-off information belongs to a composite route, the sign-off information returns to both the composite route and the original orders. In both systems! Module Multiple Company Names

With the module Multiple Company Names you can handle transport orders on behalf of a defined company name. For each customer, you can set up which company name is responsible for the logistics service. Correspondence will then be handled in name of this company name, for quotations, orders and invoices. New or improved in this release:

Customer Portal – Extra company name

From a Premium package onwards, you have access to your own Customer Portal. With this portal, your customers can book orders and follow their status, among other things. After logging into your Customer Portal, the relevant customer will now see the company details of the company that is responsible for the logistics services.
You can find the set company name in the customer data > ‘Company name of customer’.

Module Extra Branches

The module Extra Branches is developed for transport companies with multiple branches. Each branch office gets its own Transport Management System, with the head office retaining control of certain functionalities. The features of the module are also useful for organisations that offer different transport services, and would like to have a separate planning for them. New or improved in this release:

Customer Portal – Extra Branches

The module Extra Branches allows you to set which branch is responsible for the planning per customer. In addition, you can also specify a company name on behalf of which all correspondence should be drawn up.
From a Premium package onwards, you have access to your own Customer Portal, which allows your customers to place orders and track their status, among other things.
After logging into your Customer Portal, the relevant customer will now see the company details of the company that has been set up as the sender of all correspondence. Placed orders are sent to the set company, which is responsible for the planning.
The set company name can be found under customer data > Customer-specific settings > ‘Assign to branch’.

Carrier Portal – Extra Branches

Do you use the Carrier Portal/Driver App? When you send a transport order to the Driver App, the branch office that sends the order is now also shown in the order data.

Connection Accounting Package

EasyTrans Software offers standard connections with most well-known accounting packages. For an up-to-date overview of all partners and links, please visit our partner page. New in this release:

Accounting package DATEV

DATEV provides high-quality software solutions and IT services for accountants, tax advisors and lawyers, as well as entrepreneurs. Despite the rapid changes in technology, DATEV continues to strive for the best quality. With software, services, consulting, and education it wants to assist its customers on a global scale. More information about DATEV can be found on the website www.datev.com.

Module Connection with DATEV
With a connection between the TMS EasyTrans and DATEV you can easily and quickly export invoice and customer data from your Transport Management System (TMS) to the accounting package DATEV. The data is transferred via an export file which can be imported into DATEV.

Module Connection External Systems

EasyTrans Software offers various possibilities for linking external software with the Transport Management System EasyTrans. The module Connection External Systems gives access to the API’s and the EDI platform of EasyTrans Software. New or improved in this release:

Comments and notes
When receiving orders via the API, the customer’s comments and CRM notes are now also taken over. Depending on the setting in your general settings, of course.
Tip: To automatically transfer comments and CRM notes to orders, you can set this via ‘Settings’ > ‘General’ > ‘Orders’ tab > ‘Settings for dealing with orders’.
Fleet
Items from the ‘Fleet’ can now also be included via Order import API.
New main versions Order API / Customers API
There are new main versions of the Order API (V4.0) and Customers API (V2.0). In these versions, the request call has been modernised. Details about the modification can be found in the documentation that can be downloaded from our website.

TMS EASYTRANS

Carrier Portal / Driver App

With a Premium Plus package, your Transport Management System includes a Carrier Portal / Drivers App. This allows a planner to send new transport orders real time to drivers. These orders can be signed off using the Drivers App. The sign-off information will immediately be available in your planning environment. New or improved in this release:

Allow a carrier access
There are several improvements in allowing a carrier access to the Carrier Portal. When you enter the user data of the carrier, you can now automatically generate a password. After generating a password you can send the carrier an email from EasyTrans with all the information needed to login to the carrier portal.
Tip: Also, if you want to change a password for a carrier, you can generate a password automatically and send an email with the login details.
Period filter Driver App
Several improvements have been made to the period filter of the Driver App.
- Delivery dates within period filter
  Does an order contain destinations with different pick-up and delivery dates? A deviating date is now marked with a different colour. This allows the driver to easily see which destinations need to be driven to that day and which do not. In addition, all orders with destinations to be visited within the period filter are now shown.
- Period filter when logging in
  The period filter is automatically set to the date of that day when you log in to the Driver App. A driver then immediately sees the orders planned for that day.
Connect EasyTrans with other users
You can now also exchange sign-off data when you use the connection with other EasyTrans systems. To do this, both systems must use a Premium Plus package. Read more at Connect with other EasyTrans users.

Customer Portal

With a Premium or Premium Plus package, your Transport Management System includes a customer portal. Customers can place transport orders online (web-ordering) and you can easily share information such as order status, order history and optionally also the invoices. New or improved in this release:

Allow access to customer
There are several improvements in allowing a customer access to the Customer Portal. When you enter the user data of the customer, you can now automatically generate a password. After generating a password you can send the customer an email from EasyTrans with all the information needed to login to the Customer Portal.
Tip: Also, if you want to change a password for a customer, you can generate a password automatically and send an email with the login details.

Planning

The planning features of EasyTrans help to record, plan and manage transport orders in a clear way. New or improved in this release:

New order

Set order number
From now on, it is possible to set an order number yourself for the next order you enter.
In the main menu, go to ‘Settings’ > ‘General’ > On the ‘Orders’ tab, enter the desired number for the next order you place > Click the ‘Save’ icon.
Please note: The new order number must be numeric and higher than the highest existing order number, it may be up to 9 characters long
Do you want to use years in your order numbers? Use plenty of extra zeros! For example: 202200001. Do you expect more than 100.000 orders in one year? Then use the short year notation: 220000001.

Order management

Order history
Using the ‘View extended order history’ button, you can always see what, when and by whom something was changed in an order. To make the history easier to read, only changes to rates with an amount (or which had an amount) are shown.
Goods for pick-up destinations
For orders with multiple pick-up and delivery destinations, you can specify under ‘Goods & Distribution’ the goods to be delivered from and to. When removing pick-up destinations within orders, the linked goods are no longer deleted. Instead, they are assigned to the first pickup address.
Please note: To create transport documents, or to optimise routes, a minimum of one pick-up address is required.
Tip: Is the pick-up from your own address? Add your company to the address book so you can easily enter this address as the pick-up address.
ETA
In EasyTrans you can automatically calculate an Estimated Time of Arrival (ETA). Do you use period times (window times)? The ETA calculation now uses the as of time instead of the estimated time of arrival.
Example: You use the following period time at a destination: Between 13:00 and 15:00. The ETA calculation now uses 13:00 as starting time.

Track & Trace

Every order in EasyTrans has a unique Track & Trace code. The Track & Trace information can be consulted via a Track & Trace page. Whenever an order is changed, this page is always updated immediately. It is now also possible to make manual changes to this Track & Trace information.

Track & Trace history page
With the new function ‘Track & Trace history page’, you can adjust or remove order statuses from the Track & Trace page. For example, you can change the name, location or the date/time. In addition, you can also add order statuses manually.
You can activate the function as follows: Via the main menu, go to ‘Settings’ > ‘General’ > ‘Advanced’ tab > Check ‘Activate Track & Trace history’ > Click ‘Save & Close’.
In your orders, you will now find (under your destinations) an extra button: ‘Track & Trace history’. This will open the Track & Trace history page where you can adjust the Track & Trace information.

Order overview

Search function
The search function in the order overview has been improved. It is now possible to ignore set filters and search all orders.
Advanced settings
You can now define some advanced settings for the order overview yourself in EasyTrans! In the general settings you will find a new tab ‘Advanced’ where you can enable or disable various advanced settings.
Goods column
When you define measurements under ‘Goods & Distribution’, they are now also displayed in the ‘Goods’ column.
E-mails via batch operation
E-mails sent from the order overview can now be sent more than once. The security that was supposed to prevent you from sending an e-mail twice by mistake is no longer active.

Importfunction

From a Standard package onwards, your Transport Management System includes an import function. This allows you, for example, to import several orders at the same time.

CRM notes and comments
When creating orders via an import format, the comments and CRM notes of the customer are now also taken over. If this is selected in your general settings, of course.
Tip: Whether to automatically transfer comments and CRM notes to orders can be set via ‘Settings’ > ‘General’ > ‘Orders’ tab > ‘Settings for dealing with orders’.
RouteXL and SmartRoute
Do you, or your client, work with RouteXL or SmartRoute? These systems have an order export function. These export formats can now also be imported into EasyTrans!

E-mail options

Delivery confirmation
The delivery confirmation now also displays the goods transported.

General – Transport documents

Batch operation order overview
Transport documents ( delivery note, CMR, order list and shipping label) that are created via the batch operation of the order overview are created in the order of selection. This way you only need to sort the documents digitally!
Tip: Do you prefer to use the order date for the creation order? Then sort your order overview by ‘Date’.

CMR

Box 20
On the ‘CMR fully printed’ the actual arrival and departure times are displayed in box 20.

Orderlist

Print settings
Print settings for order lists can now be defined centrally. This makes the standard settings the same for all users, including, for example, users of a customer portal. You can define the print settings via: ‘Settings’ > ‘General’ > ‘Transport Documents’ tab > ‘Print options order list’.

Connection EasyTrans Users

Do you work with a logistics service provider who also uses EasyTrans? If so, you can easily exchange order data with each other via your Transport Management System!

Share sign-off information
When linked EasyTrans Systems both use the Carrier Portal/Driver App to sign off orders, sign-off information can now be shared! Which information is shared (and how) depends on the settings both systems use in the Carrier Portal.
Standard sign-off information is always sent directly back to the client. This means that a name of a receiver/customer, the time of receipt/delivery, signatures and images and a possible sub status are directly available to the customer, and possibly an end customer.
Please note: If you want to exchange order sub-statuses, the name of an order sub-status must be exactly the same in both systems.
Whether and how other sign-off information is shared depends on the settings that both systems use for a Carrier Portal.
Sign off via Driver App
In addition to the sign-off data, signing off itself is also synchronised. For signing off orders, the settings of both systems are taken into account. In general, all orders are first sent back to both planning environments. A completed order is marked dark blue in the order overview, after which the planners can process and sign them off to their customers.
Does the carrier (recipient) use the option to sign off orders directly via the Driver App? But the client (sender) does not? Then the client (sender) only receives a sign off notification. The planner can then process the order data and sign off the order if desired, including to the end customer.
Does the client (sender) use the option to sign off orders directly from the Driver App as well? Then the order is completely signed off in that system, possibly also to the end customer.

Carriers

From a Standard package onwards, you can easily manage data of drivers or external carriers in EasyTrans. New or improved in this release:

The attributes ‘self-employed’ and ’employed’ have been added to the attributes that can be defined for a carrier.

With all TMS packages of EasyTrans Software you can create, send and manage invoices. New or improved in this release:

Invoice overview

Search function
The search function in the invoice overview has been improved. It is now possible to ignore set filters and search all invoices.

VAT obligated ‘No, outside EU’
For customers whose VAT obligation is set to ‘No, outside EU’, the following message is displayed on invoices: “Out of scope of EU VAT”.

Rate Management

In EasyTrans, you work with your own products and rates. New or improved in this release:

Dynamic rates

With a Premium or Premium Plus package, dynamic rates are part of your Transport Management System. Dynamic rates are activated when certain data is present in an order. For example, a certain zip code or country within delivery destinations.

Based on date or time
Dynamic rates can now also be set on the basis of date or time. This is very useful when, for example, you charge a weekend surcharge. Does a destination include a delivery day on Saturday and/or Sunday? Then a dynamic rate can be activated automatically.

Vehicles

In the TMS EasyTrans you can register the types of vehicles you use to carry out your transport services. From a Standard package onwards, you can also register and manage your own fleet. New or improved in this release:

Fleet

Deactivate vehicles
It is now possible to (temporarily) deactivate vehicles in your fleet, for example because they are not available due to maintenance. The vehicle will still be shown (marked grey) when you select a vehicle, but it cannot be chosen. You can deactivate a vehicle as follows: In the main menu, go to ‘Vehicles’ > ‘Vehicle fleet’ > Click on in the ‘Operations’ column.
Is the vehicle available again? From the main menu, go to ‘Vehicles’ > ‘Fleet’ > Click on in the ‘Operations’ column.

Export function

With a Premium or Premium Plus package, your Transport Management System includes an extensive export function. New or improved in this release:

Orders – Extended
The export option ‘Orders – Extended’ gives a detailed overview of all orders within the selected period. This export consists of two worksheets. The first worksheet shows the order details, the second worksheet the destinations. The ‘Destinations’ tab now also contains the goods to be transported per destination.
Orders – Turnover per customer/product
In the export options ‘Orders – Turnover per customer’ and ‘Orders – Turnover per product’, an extra line is added with the totals.

General

It is now possible to define some advanced settings yourself in EasyTrans! In your general settings you will find a new tab ‘Advanced’ where you can enable or disable various advanced settings:

Display settings order overview

‘Show destinations under each other (including date/time)’
This existing function has been relocated from the ‘Orders’ tab to the ‘Advanced’ tab. In the column ‘Destinations’, destinations are shown including date and time, the period filter takes all dates into account.
‘Show pick-up postcode column’
For orders that contain a single pick-up and delivery destination (from A to B). Adds a column with the postal codes of first destinations to the order overview.
Please note: For orders with multiple pick-up and/or delivery addresses, the additional postcodes are not shown.
‘Show delivery postcode column’
For orders that contain one pick-up and one delivery destination (from A to B). Adds a column with the postal codes of second destinations to the order overview.
Please note: For orders with multiple pick-up and/or delivery addresses, the additional postcodes are not shown.
‘Show pick-up country column’
Adds an extra column with the country of the first destination to the order overview.
‘Show delivery country column’
Adds an extra column with the country of the second destination to the order overview.
Please note: This column only displays the country of destination two. For multi stop orders, the countries of the additional destinations are not displayed.
‘Show delivery date column’
Adds an extra column with the delivery date of the second destination to the order overview.
Please note: This column only displays the delivery date of destination two. For multi-stop orders, the delivery dates of the additional destinations are not displayed.
‘Marker for order confirmation sent’
Marks the customer name green as soon as an order confirmation has been sent.
‘Marker for transport order sent’
Marks the name of the carrier green as soon as a transport order has been sent.

Price calculation

‘Calculate first delivery address as stop’
The automated stop calculation of EasyTrans only calculates extra stops by default. This means that for an order with three destinations, one stop is calculated. Activate this setting to calculate one stop from two destinations.

Track & Trace

‘Activate Track & Trace history’
Activate this option to keep a history of the Track & Trace statuses of an order. This option adds a ‘Track & Trace history’ button in the order detail screen. With this button you can view all automatic Track & Trace statuses and manually add statuses.
Please note: The Track & Trace history is also visible for the customer on the Track & Trace page.

Other

Performance improvements

Also on the background, EasyTrans Software is constantly optimising the software. Recently we have made changes to our database structures. Among other things, this considerably speeds up the loading time of a page!

Passwords

EasyTrans now works with a new password system. Passwords must contain at least 8 characters, with a minimum of one lower case letter, one upper case letter and one number. Forgotten passwords can now be reset in combination with the user name. As a result, it is no longer necessary to give each user a unique email address.
The password system applies to new passwords or to any passwords that need to be changed.

EasyTrans Users

Along with the new password system, we have also made some improvements in granting users access. When entering user data, it is now possible to automatically generate a password. In addition, you can send the colleague, customer or carrier an email from EasyTrans with all the necessary information about logging into your system.
